I work as a service manager in private social and healthcare. My daily work includes lot of digital programs, platforms and services.

Microsoft 365 service package is one of the tools I use most. There is of course Outlook email client and calendar, word processing (Word) and Powerpoint presentations. Few of the Microsoft programs are underrated and not used in their full potential in generally for example Microsoft OneNote. I use this note taking app daily to arrange chaos of information that is presented through different channels (email, whatsapp, text messages, phone). In my current position I also have admin privileges to Microsoft services and I recently started to explore Azure cloud settings. Microsoft Sharepoint runs in the background providing document management and storage for the information.

For social and healthcare customer/patient management I use enterprise resource planning system (ERP) Domacare. I use this program on daily basis to plan shifts for employees, handle billing and payroll administration. This program is also used handling secure patient/customer information. For sales invoice purposes I use Netvisor platform. There are numerous other assignments that are handled through digital channels on weekly basis. These include insurance companies, IT-providers (Elisa), marketing platforms, ordering goods online and so on.

I’m digitally oriented and like to explore new innovations and services also on my free time. Productivity platforms and password managers  are my passion and I explore and test different platforms to discover how they would suit different organizatorial settings. Password management is one of the areas that are almost forgotten in companies and should absolutely be approached by IT-department. Productivity platforms (Slack, Monday) are used to collaborate and communicate and in large-scale organizations it might take time to adapt new processes and innovations.

Whatsapp

WhatsApp is a popular messaging platform that has gained a massive user base worldwide. It’s a versatile platform that offers a range of features for personal and professional use. Despite some privacy and storage limitations, it remains one of the most popular messaging platforms globally and can be a valuable tool for businesses looking to connect with customers, promote their products or services, and collaborate with teams.

Positive:

  1. User-Friendly Interface: WhatsApp has a simple and user-friendly interface that makes it easy for users to navigate and use.
  2. Multi-Platform Support: The platform is available on multiple devices, including smartphones, desktops, and tablets, making it accessible to users regardless of their device preference.
  3. Group Chat Feature: WhatsApp allows users to create groups of up to 256 members, making it easy to communicate and collaborate with teams, family, or friends.
  4. Encryption: WhatsApp uses end-to-end encryption to protect user data and conversations, making it one of the most secure messaging platforms.

Negative:

  1. Privacy Concerns: WhatsApp has been criticized for its privacy policy, which allows Facebook (the parent company) to access user data, including messages, contacts, and location.
  2. Storage Limitations: WhatsApp only allows users to send files up to 100MB, making it difficult to share large files.

Some of the ways I could utilize Whatsapp in my work includes: customer and employee support, group communication, marketing and for example online meetings.

Monday

Monday.com is a project management tool designed to help teams streamline their workflow, manage tasks, and track progress in a collaborative manner. It offers a range of features and customization options to suit different needs and preferences.

Positive:

  1. User-friendly interface: Monday.com has a clean, modern interface that is easy to navigate, making it simple to get started with the tool.
  2. Collaboration: Monday.com is designed to facilitate collaboration and communication between team members, making it easy to share information, assign tasks, and track progress in real-time.
  3. Integration: Monday.com can integrate with other tools like Slack, Trello, and Google Drive, making it easy to streamline your workflow and keep everything in one place.

Negative:

  1. Pricing: Monday.com can be expensive for small teams or startups, and some of the more advanced features are only available on higher-priced plans.
  2. Complexity: While the tool is user-friendly, some of the more advanced features and customization options can be overwhelming for new users.

You can utilize Monday.com for task management, project-planning, collaboration and workflow management.

Miro

Miro is a cloud-based collaboration and brainstorming platform that enables teams to collaborate visually in real-time. It has become increasingly popular in recent years, particularly in remote work settings, due to its versatility and ease of use. I’ve used Miro in my studies, especially when collecting information on my thesis on a workshop setting.

Positive:

  1. Versatile collaboration tool: Miro allows teams to collaborate in a variety of ways, including brainstorming, mind-mapping, diagramming, wireframing, and project management. It offers a wide range of templates to suit different types of projects and allows teams to create their own custom templates.
  2. Easy to use: Miro has an intuitive interface that is easy to navigate and requires minimal training. It offers a drag-and-drop interface that makes it easy to add and move elements around.
  3. Real-time collaboration: Miro enables teams to collaborate in real-time, which makes it easy to see what other team members are doing and to contribute to the project in real-time.
  4. Integration with other tools: Miro integrates with a range of other tools, including Jira, Trello, Slack, and Google Drive, which makes it easy to incorporate it into existing workflows.
  5. Security and privacy: Miro takes security and privacy seriously and offers a range of security features, including two-factor authentication, encryption, and compliance with GDPR and other data protection regulations.

Negative:

  1. Limited customizability: Miro can be somewhat limited in terms of customizability, particularly when it comes to design and branding. It offers a range of templates, but some users may find it difficult to create their own custom templates.
  2. Cost: Miro can be expensive for larger teams, particularly if you require features such as enterprise-level security or advanced reporting.
  3. Learning curve: While Miro is relatively easy to use, some users may find it takes time to become familiar with all its features and capabilities.

Miro platform is used to brainstorm ideas , facilitate mind mapping and innovation of new ideas. It can also be used as project management tool.

Microsoft OneNote

OneNote is a powerful and versatile platform for note-taking, organization, and collaboration. It can be used for a wide range of tasks.

Positive:

  3. Collaboration features: OneNote has robust collaboration features, allowing multiple users to work on the same note at the same time. This is especially useful for group projects or meetings.
  4. Integration with other Microsoft tools: OneNote is part of the Microsoft Office suite of tools, which means that it integrates seamlessly with other Microsoft apps like Outlook, Word, and Excel.

Negative:

  1. Limited search capabilities: OneNote’s search capabilities are somewhat limited, making it difficult to find specific notes or information quickly.
  2. Limited formatting options: While OneNote is great for text-based notes, its formatting options for images, tables, and other media are limited.

As I mentioned earlier I use OneNote daily for note-taking and arranging information. It works good as a collaborative platform also, for example for meeting notes.

Facebook

Facebook is one of the most popular social media platforms in the world, with over 2.9 billion monthly active users as of 2021. It can be an excellent platform for businesses to reach a large audience and build strong relationships with their customers.

Positive:

  1. Engagement and Interaction: Facebook provides a platform for businesses to engage with their customers and build strong relationships through comments, likes, and shares.
  2. Cost-Effective: Facebook advertising can be very cost-effective, with businesses able to set their own budgets and only pay for the clicks or impressions their ads receive.

Negative:

  1. Privacy Concerns: Facebook has been criticized for its handling of user data, and some users may be hesitant to share personal information on the platform.
  2. Time-Consuming: Building and maintaining a successful Facebook presence takes time and effort, which can be a challenge for small businesses or those with limited resources.
  3. Algorithm Changes: Facebook frequently changes its algorithm, which can make it challenging for businesses to keep up with best practices for reaching their audience.

As a business owner or marketer, Facebook can be a powerful tool for connecting with potential customers and growing your brand.

Using a digital platform, program or a service successfully several elements have to be met. These include user-friendly interface, functionality, integration, security, mobile support and scalability. These are the elements that make the program stand out and gain users. Collaboration cannot be done alone, so critical mass of users for the program have to be achieved for it to work.

Innovations and new development occurs daily in the field of digitalization. One of these curiosities is a digital business card (V1ce), where you can customize your information according to situation, professional or personal. The information is transferred from the card to your phone. I have used this some time now.

While writing this assignment I discovered, yet again, that how many digital services we use daily. We have to educate ourselves to keep up with the digital evolution, in our professional and personal lives. The speed of development is breathtaking and sometimes you have to allow time for yourself to get familiar with the new technology. Organizations should also take this into consideration while building orientation programs for new employees.
