I work as a solution specialist in Health IT, and my work includes system support, development tasks, and collaboration with different stakeholders. My background as a nurse still affects how I see things, because I understand both the clinical side and how the systems are actually used in practice.

In my daily work, I use several digital tools. The most important ones are part of the Microsoft 365 environment. Outlook is used for email and calendar management, and most of my workdays are built around meetings. Microsoft Teams is always open, and I use it for meetings, chats, and quick questions with colleagues. SharePoint and OneDrive are used for storing and sharing documents, such as instructions, reports, and project materials. In addition, I use Microsoft Copilot, for which my employer provides a license. I use it mainly for drafting texts, summarizing information, and structuring ideas. It is especially helpful when writing documentation or preparing messages. At the same time, I am careful with it, because AI does not always understand the local context or restrictions.

I also use ServiceNow as a service management system. I handle service requests there and track tasks. One important part of my work is updating the CMDB (Configuration Management Database). In practice, this means keeping system information up to date so that incidents and changes can be managed correctly. This may sound technical, but in everyday work it really means that the right people and systems can be identified quickly when something goes wrong.

I also use the Digiturvamalli of one customer organization. It helps me find information about systems, such as system owners, responsibilities, and support models. This is very practical in my work, because I often need to know who is responsible for what and how support is organized. It also highlights how important clear structures and information security are in healthcare IT.

Earlier in my career, I used Monday.com in a hospital system rollout project. We used it to follow different systems, tasks, and documentation during the implementation. It helped to keep the overall situation clear in a large project where many things happened at the same time.

Social Media in Work: Benefits and Challenges

Social media and digital tools offer many possibilities in working life. They make communication easier, support learning, and allow networking with other professionals. For example, following discussions about healthcare IT or AI can give new ideas and perspectives. At the same time, there are also clear downsides. Social media can easily interrupt work and make it harder to focus. Not all information is reliable, so you have to be critical about what you read. In my field, there is also the question of confidentiality. We cannot share or discuss everything openly, so boundaries need to be clear.

Selected Tools and Their Use

For this assignment, I selected five tools that are mostly new to me: Miro, DeepL, Todoist, Evernote, and Issuu. I chose these because they support different aspects of my work, such as collaboration, language, and task management.

Miro

Miro is a digital whiteboard tool that can be used for workshops, planning, and brainstorming. In my work, I see it as useful especially in development meetings where ideas need to be visualized. It allows multiple users to work at the same time, which would fit well with distributed teams. For example, we could describe processes, collect ideas, or plan system changes together. At the moment, it is not in active use, but it would be possible to get a license at work. I think it could make workshops more interactive and easier to follow.

DeepL

DeepL is a translation tool, and I see it as a good complement to tools like Copilot. While Copilot can help with text, DeepL is more focused on language quality. In my work, this could be especially useful for translating Swedish service requests or checking English texts. Even though other AI tools can translate, DeepL often feels more precise. It is a small thing, but in daily work it can save time and help avoid misunderstandings.

Todoist

Todoist is a task management tool that is new to me. In my work, tasks come from many directions, and sometimes it can be difficult to keep track of everything. A tool like Todoist could help structure tasks and make priorities clearer. Breaking tasks into smaller steps could also make work feel more manageable. At the same time, I know that the biggest challenge is actually using the tool consistently.

Evernote

Evernote is a note-taking tool. I take notes almost daily, but they are currently spread across different places. Evernote could help collect everything in one place and make it easier to find later. This would be useful especially in meetings and development work, where information builds over time.

Issuu

Issuu is a platform for publishing digital content. I could see it being useful for sharing instructions or training materials in a more visual format. It is probably not something I would use daily, but it could be helpful in situations where information needs to be shared clearly and in an easy-to-read format.

Data Protection and Information Security Perspective

When thinking about these tools, I also need to consider where they can actually be used. In healthcare IT, data protection and information security are essential, and the use of data is strictly controlled. This means that tools like DeepL or AI services cannot be used with sensitive or identifiable information without clear instructions. The same applies to tools like Miro or Todoist. They can be useful for planning and general work, but not for handling confidential data. In practice, this means that these tools are mainly used for non-sensitive information. Work-related systems like ServiceNow or official platforms are still needed for anything that includes protected data. This is something that has to be considered all the time in daily work.

Elements of Successful Digital Tool Use

Successful use of digital tools depends on several factors. First, usability is important. Tools must be easy to use in everyday work. Second, there must be a clear purpose. If users do not understand why a tool is needed, they will not use it. Third, training and support are necessary. New tools require guidance, otherwise they are easily ignored. Fourth, data protection and security must always be taken into account, especially in healthcare IT. Finally, it is important to think about workload. Too many tools can make work more complicated instead of easier.

Self-Reflection

This assignment made me realize how many digital tools I already use daily. Many of them have become so normal that I do not really think about them anymore. I also noticed that new tools can be useful, but only if they actually support work. It is easy to think that more tools mean better work, but that is not always the case. One important insight was related to AI. Tools like Copilot are already part of my work, but they are not something I can fully rely on. They help, but they do not replace understanding.

In the future, I would like to develop my skills especially in tools that support collaboration and task management. At the same time, I need to keep in mind the limits set by data protection and information security, because in my field they are always present in daily work.

Digital Tools and Social Media in My Work Digital tools are a central part of my daily work.
