I work in construction positions in the wellbeing services county, in hospital construction projects. In my work I use a lot of different IT programs and tools.

We use Outlook for e-mail and calendar.

Teams is used in meetings and for sharing information and as a discussion channel.

Zoom is used in some trainings and large events.

Of course, I use the Office package, of which I use Word, Excel and PowerPoint every day.

I mainly use MS Edge as an internet browser. I use Google a lot to find information. And Google Drive for data storage. OneDrive is also used for storing and sharing information.

We have an internal intranet, “Pulssi-intra”. Our internal case management system is Dynasty10, where decisions are made and where all official documents are stored. Personnel management systems I need to use ESS Personec and OSS Personec. The travel invoicing system is M2. Invoices circulate and are checked in Rondo. Hours and absences are recorded in the working time tracking system Nepton every day.

Space management system in the wellbeing services county is Modulo.

In the risk management system Granite also assesses the risks of construction projects.

The document models for construction projects can be found in Haahtela, where the costs of construction projects are also monitored.

Designs and documents of construction projects are saved and shared in SokoPro.

I use Solibri to view the building information model. DWG TrueView is used for viewing CAD images. And if I need to edit the CAD images, it’s available AutoCAD LT.

I use Adobe Acrobat DC for PDF files.

Miro is used in the preparation and monitoring of the Last Planner schedule of the construction project. Miro is also used as a platform in workshops.

The tasks, costs and situation room of the construction project are monitored in the Smartsheet.

I use Surveypal to make surveys and that’s also our continuous feedback channel.

Space requirements for construction projects are presented in Modelspace.

I make schedules on the Planet. I have a test drive as well MS Project.

Building permit matters are processed at the Lupapiste. Kuivaketju10 is in use for monitoring construction projects and its reports are submitted to construction supervision.

We use HILMA in procurement. In procurement monitoring and some contracts, also Cloudia.

The tool used to monitor hospital equipment is the IHD Platform.

The construction contractor has many programs and systems in use, of wich I myself use to monitor the site and safety 10Pro and TurvaApp and costs Jydacom.

I also use WhatsApp a lot for quick communication, even though it’s currently forbidden us to use it for work.

My new social media tools

Evernote

I have long been striving to work without papers. I use a lot of Outlook sticky notes that sync to OneNote on my mobile phone. The only problem here is that when there are a lot of sticky notes, it’s hard to find the right on in them.

Evernote seems like a good tool. It could make easier to manage your notes and I also like the scanning feature and the fact that you can attach images to your notes, among other things.

It annoys me that nowhere can you find the prices of services Personal and Professional.

Doodle

Our organization’s Outlook calendar is blocked for security from being shared with people outside the organization. This is problematic in a project where a lot of parties outside our organization work.

The Doodle could serve as an aid within such a project in scheduling and calendaring. To work, this would require Doodle and Outlook calendar to sync.

LinkedIn

I know that many people use LinkedIn for things like job search and contact. I also have a LinkedIn profile, but I’ve never really learned how to use it to my advantage. It seems awkward and clumsy to use to me. For example, now I tried to update my profile as an employer in the wellbeing services county and I think I did it just right, but still the main page shows the hospital district under my name.

But surely using LinkedIn correctly could be used to create and maintain work contacts and publish things that are important to you.

Mural

I like the visual look of Mural’s site. I know Mural is used in some projects.

Nowadays, when almost all meetings and workshops are remote, visual tools are needed. They make working more inclusive and meaningful. Visual ways also help with brainstorming.

The price of Mural was surprise to me. I think the price of the Business section is surprisingly big, 17,99 $ per member / month.

Todoist

Todist seems like an interesting task management tool. I’ve had challenges with managing my working hours for a long time and I make todo lists for myself, but they are always on separate sticky notes.

In Todoist, tasks can be categorized into priority levels, divided into subtasks, and also assigned to other project workers. You can add tags to tasks and use filters to search for tasks. Sounds pretty good to me.

Todoist has a very large number of ready-made integrations, but it surprises that there does not seem to be any integration with Outlook Calendar.

Self-evaluation

Even though I knew we had a lot of different electronic tools in use, I was surprised by the large number of them when I started listing them. This poses challenges when you need to know how to search for data in the right place and, unfortunately, you also have to store data in many places.

It was interesting to get acquainted with the social media tools on the list, most of them were already foreign to me.

In general, I’m quite wary of using social media for work matters or posting anything work-related on social media because it’s so easy to get the wrong kind of things and comments about them.

The challenge for us, as in many other large organizations, is to have a strict security policy. The introduction of a new electronic systems or tools is slow and requires a lot of research work. And sometimes even block the deployment completely. Especially challenging to implement are the integrations of different programs or systems.
