My work and use of digital tools

I am currently working as an expert in the service of the Finnish government. My work emphasizes the management of various projects and acting as their liaison. Information security and data protection are emphasized in my career as an expert. We process a wide variety of data with different levels of protection, such as data from companies and personal customers. I also work in a network between countries, including the safe handling of confidential information.

The digital tools I use in my work are:

KasvuCRM is a corporate CRM system that acts as an interface and platform for other operators. This platform is used by Finnvera, Business Finland, ELY (Centre for Economic Development Transport and the Environment), Valtionkonttori, and Te-offices. This System requires strong identification and a separate user license. The program’s use is strictly limited, and there are different levels of protection within the program itself.

EESSI is a System for the electronic exchange of information. The System for the electronic exchange of social security information (EESSI) is a new system for exchanging information between the social security institutions in the EU countries. In my work, I use the program every day. The System is used when processing social security cases concerning several countries. Via the System, the social security institutions in the EU countries can exchange information quickly and safely.

The URA program is aimed at all unemployed or at risk of unemployment who need help promoting their career plan and employment. The program’s purpose is to help jobseekers find an education or a job that suits them, and it offers versatile guidance and support for making a career plan and looking for a job. With the program’s help, job seekers can receive individual advice, training, work placements, or other support measures that help them achieve their employment goals.

Social media tools in my work are Linkedin, Instagram, and Facebook. In my work, I use tools for a wide variety of internal and external communication. I upload content there regularly. I have noticed that the use of social media tools in my work is increasing.

Canva is a graphic design program specifically aimed at users who want to create different visual content, such as posters, social media images, infographics, and other graphical elements. The program is especially popular among social media content producers. For this reason, I also use it a lot in my work. It makes my job much faster and easier.

Five tools I could use:

Twitter
As an expert, I could use social media in my daily work even more in many different ways. For example, I could use Twitter for expert communication and networking. I could also share my professional knowledge and views in this network. The use of social media has both positive and negative aspects. Positive aspects include easy and fast information sharing, creating new networks, and reaching a potential target group. On the other hand, negative elements include, for example, information overload, which can make it difficult to find essential information, and the unpredictability of social media algorithms, which can weaken the visibility of messages.

Youtube
Youtube is a digital viral application that can be used in many different ways in my work as an expert. For example, I could use it for content creation, such as video tutorials and presentations or professional training and learning. Visually, videos are an effective way to enhance communication nowadays.

WhatsApp
Whatsapp is one of the most popular instant messaging apps. I could use it in many of my work tasks as an expert. The tool would improve communication with my colleagues quickly and easily. I can answer colleagues’ questions, send files, and share information. It can speed up the solution of acute problems. This happens in practice by creating different groups.
On the negative side, using WhatsApp can lead to security risks such as leaking personal information if not used correctly. In addition, constant use of WhatsApp can also interfere with work tasks if you do not manage your communication. However, when used correctly, the tool is versatile enough to make my work more efficient.

Mural
In my work, I am involved in many different development groups, and we do a lot of remote work. We often have a remote connection where several group members are involved. I have often wondered what would be the best tool for this kind of work. Then I got to know the Mural service. It is a cloud-based workspace and collaboration application that provides a virtual whiteboard. It is designed for teamwork and sharing ideas. The application includes tools such as notes, images, videos, plans, and designs that users can add and share in real time with other users. Mural would be well suited to my work; for example, if you want to organize an ideation workshop or plan a project with a team, Mural offers an excellent platform. For example, users can use Mural to collect ideas, add images and videos, and chat with other team members. Mural can also create different visual presentations, such as mind maps and infographics. I could also use Mural as a project management tool where the team can track progress and communicate with each other.

Doodle
In my work, time management and managing my work are very challenging. I have often considered how some people know how to calendar more effectively than others. I found the Doodle app on the list, which seems interesting. It is an online application that helps with time management and booking. The application is designed to facilitate organizing meetings, events, and schedules for groups or individuals. That is a tool that exactly meets my needs. With the help of the tool, you can e.g. create polls to help find a convenient day and time for all participants to attend a meeting or event. As an expert, I could use Doodle in many ways, for example, to book appointments with clients or organize team meetings. The tool could save me a lot of time because it eliminates the need to go through multiple emails and phone calls to find a suitable time. I think it’s a handy application for booking appointments and organizing schedules for groups or individuals. It could be helpful in my work as an expert, and it can save you time and effort.

Self evaluation

This assignment taught me about different digital tools and their advantages and limitations. I also identified five tools that could improve your work efficiency: Twitter, Youtube, WhatsApp, Mural, and Doodle. It was also interesting to think about social media’s positive and negative aspects and the importance of proper communication management. Overall, this assignment helped me reflect on my work processes, identify potential areas for improvement, and expand my knowledge of the digital tools available to help with my work. Finally, it can be stated that using digital tools has become even more important. By introducing new tools and technologies, you can increase your efficiency and productivity and improve communication and cooperation.
